Who We Are
OktaPOS provides point-of-sale software for restaurants, cafes, and retail stores. In this policy, OktaPOS, we, us, and our refer to the OktaPOS service used through the mobile, web, and desktop applications, including the public policy page at https://oktapos.com/privacy-policy.
Information We Collect And Process
OktaPOS may collect or process store profile information, owner name, owner phone number, owner email address, employee names, employee roles and permissions, employee login identifiers, customer names, customer phone numbers, customer email addresses when entered for orders, table and takeaway order details, KOT records, bill records, settlement and payment-method records, sales reports, inventory records, supplier details, printer settings, sync status, support tickets, support messages, support attachments, notification tokens, device information, diagnostics, and app activity needed to operate and secure the POS.
How We Use Information
We use this information for app functionality, account creation and sign-in, employee access control, billing and checkout, KOT and bill printing, table and takeaway order management, inventory management, sales reporting, authorized-device sync, support communication, support attachments, important support notifications, reliability improvement, error detection, fraud and misuse prevention, legal compliance, and store records requested by the store owner.
Data Sharing And Service Providers
We do not sell personal information. We may share data with service providers only as needed to operate OktaPOS, including Firebase Authentication, Cloud Firestore, Firebase Storage, Cloud Functions, Firebase Cloud Messaging, hosting providers, SMS or WhatsApp messaging providers, email delivery providers, analytics or diagnostics providers when enabled, and customer support tools. These providers process data for app functionality, security, support, communication, diagnostics, and legal compliance.
Device Permissions
OktaPOS may request internet access for cloud sync and support, notifications for support replies and important app messages, Bluetooth permissions to discover and connect paired receipt or KOT printers, and file access through the system picker for support attachments. Location, camera, or local network access is used only if a platform feature requires it, such as store setup, QR/barcode workflows, or printer discovery. Permission availability depends on platform and device.
Google Play Data Safety Summary
For Google Play Data safety, OktaPOS should be declared as collecting data for app functionality, account management, customer support, security, fraud prevention, diagnostics, and optional communication features. Relevant data categories include personal information, business contact information, app activity, app information and performance, device or other IDs, files and documents submitted for support, and customer information entered by the store while using POS workflows.
Security And Retention
We use authenticated access controls and encrypted network transport to help protect data. Store operational records may be retained while the account is active and for a reasonable period after deletion where legal, tax, billing, fraud-prevention, backup, security, or dispute-resolution requirements apply.
Account Deletion
Store owners can request account deletion from Settings in the OktaPOS app or from the public account deletion instructions. Employees cannot delete a store account. After a deletion request, we record the request, may disable access, and review the account for deletion subject to legal, billing, tax, security, backup-retention, and dispute-resolution obligations.
